Plant Hunting Service Policy

Service Overview

Plant Types:

  • Only includes domesticated horticultural varieties.
  • Excludes wild-collected plants and any species requiring special permits.
  • Plants currently sold by The Basements are not included in this service.

Purpose:

To assist members in sourcing rare plants legally and responsibly while ensuring plant quality and health throughout the process. Our service also includes full rehabilitation (rehab) of plants based on their condition after arrival to us, ensuring they are in the best possible state before delivery.

Service Process

1. Submit a Request:

  • Customers provide detailed information, including plant names, budget, and other requirements.

2. Deposit Payment:

  • A 30%-40% deposit of the estimated market price is required to begin the search.
  • Deposit is refundable only under specific conditions (see refund policy below).

3. Plant Search and Options:

  • We source the plant based on your request and provide options with the original supplier pricing.
  • Multiple availability options may be presented when possible.

4. Plant Confirmation and Payment:

  • Upon confirming the desired plant(s), the customer pays the full plant price (supplier’s original cost).

5. Shipping: Once the plant cost is fully paid, we handle:

  • Receiving the Plant: The plant is shipped to us from the supplier.

6. Rehabilitation (Rehab):

  • After the plant arrives, we assess its condition and perform any necessary rehab to ensure it is healthy and stable before delivery.
  • This may include addressing root health, stabilizing the plant’s condition, and acclimating it to ensure survivability.

(Exclusions:)

  • Minor leaf damage (e.g., small tears, bruises, or scratches).
  • Natural shedding of old leaves during acclimation.
  • For plants that arrive in severely damaged condition (e.g., beyond rehab or survival), we will refund the full plant cost.

7. Shipping to Customer: 

  • Once rehab is complete and the plant’s condition is stabilized, we ship it to the customer using UPS 2nd Day shipping for U.S. domestic orders.

***Delivery timeline: Typically 1 month, but no longer than 3 months, depending on the plant’s condition and required rehab time.

Pricing and Fees

1. Plant Cost:

  • Based on the original supplier’s price (actual cost).

2. Service Fee:

  • 30% of the total plant order price (all plants in the same request).

  • International shipping.
  • Domestic U.S. shipping (UPS 2nd Day).
  • Full rehabilitation (rehab) services, ensuring plant health and readiness for delivery.
  • Comprehensive risk management during transit.

3. Deposit Policy:

  • Fully refundable if the plant cannot be sourced.
  • If the customer cancels the order before plant confirmation, the deposit is refunded as a company Gift Card.
  • Once a plant is confirmed, the deposit and payment are non-refundable.

4. Final Payment:

  • Both the plant cost and service fee must be paid in full before the plant is shipped.

Customer Responsibilities

  • Provide accurate plant specifications, including name, variety, and budget.
  • Understand that minor cosmetic imperfections or natural leaf shedding are part of the acclimation process and not grounds for claims.
  • Ensure compliance with local laws and regulations regarding plant imports and ownership.
  • Understand that changes or cancellations are not accepted after plant confirmation.

1. Legal Compliance:

  • All sourced plants comply with laws and do not include protected species or those requiring special permits.
  • Customers are responsible for verifying the legality of receiving the plant in their location.

2. Damage Policy:

  • Minor cosmetic damage (e.g., small leaf tears, bruises, or scratches).
  • Natural leaf shedding or loss of old leaves during the acclimation process.
  • We ensure plants are healthy and have a high survival rate before shipment.

3. Severe Damage Resolutions:

  • If a plant arrives at our facility in severely damaged condition (e.g., beyond rehab or survival), we will refund the full plant cost.

4. Refund Policy:

  • If we cannot source the plant, the deposit will be fully refunded.
  • Cancellations before confirmation will result in refunds as company Gift Cards.
  • No refunds are provided after plant confirmation.

5. Timeline Flexibility:

  • Delivery may be delayed due to external factors such as weather, customs, or supplier issues.
  • We are not liable for delays caused by circumstances beyond our control.
